
Safeguarding Procedure and Policy Digital Phoenix

Part 1 Aim
As a freelance photographer Digital Phoenix (Ashley Van-Rixtel) may be contracted to take photographs on behalf of an organisation/events where children are a part of. The purpose of this policy is to layout the expectations and responsibilities of working in such an environment. During private events such as weddings or birthday parties many of these policies will not apply but Digital Phoenix will ensure safeguarding is considered.
Part 2 Introduction
Digital Phoenix is a freelance photographer and will adhere to the safeguarding procedure and policy provided by the organisation they are contracted to work with, if there are children involved. Also, in accordance with the law have an up-to-date basic DBS check to provide to any client who requires this.
Part 3 General Procedures
a: Before event/shoot,
-If it is identified that the freelance photography work involves children, the client will be asked to provide their Safeguarding Procedure and Policy.
-It will be up to the client to ensure that all relevant permissions have been granted by the parents/guardians of the child to have photographs taken.
b: During the event/shoot,
-If it is identified that the freelance photography work involves children, the photographer will ask the organiser to provide the safeguarding procedure and policy so they can review it before engaging in photography.
-The photographer will not take responsibility of the general care of the children, but they may direct them for creative purposes during the photoshoot using vocal instructions only.
-There may be a time where the photographer might step in and provide non-creative instruction. This will only be if there is an immediate safety concern that could cause harm to a child, adult or damage to equipment.
-The photographer will not enter any changing facilities if costume changes are to take place.
c: After the event/shoot,
-Digital Phoenix will make edits as necessary to the photographs such as cropping and slight adjustments in the way of contrast and brightness. For storage see part 5 Storage of Photographs and film.
Part 4 Use of Photographs and Film
As a freelance photographer the organisation will have hired Digital Phoenix to take photographs in the capacity of a photoshoot for the purpose of capturing the image of individuals and groups. As stated, it will be up to the organisation to make sure their records are up to date regarding parental consent of having photographs and film created.
Digital Phoenix will seek permission to use select images for their portfolio to help promote their business as a freelance photographer. They will ask the client to seek permission from the parents of the children.
If permission is granted the image will be placed on the following website with a watermark on the image- Digital Phoenix Portfolio
Permission can be withdrawn at anytime by using the contact form or email address.
Part 5 Storage of Photographs and Film
The initial capture of the photographs and film is on a SD memory card within the camera itself. Digital Phoenix will not use any cloud storage facility to store the pictures, even while in the process of editing they will remain on the SD memory card which will have no access to the internet.
Digital Phoenix will seek permission to use a select few photographs for their online portfolio Digital Phoenix Portfolio which any parent can have access to and if they wish to not have the photo within the portfolio they can seek its removal which will be done promptly.
Part 6 Delivery of Photographs and Film
Digital Phoenix will endeavour to deliver the final product in a timely manner. This will be done via a physical SD card.
